Information pursuant to the EU-General Data Protection Regulation (GDPR) for participants of the IFA 2020 Special Edition
Messe Berlin GmbH attaches great importance to data protection. This information notice informs you about the processing of the personal data which you have provided to us in connection with your participation at the IFA 2020 Special Edition. This notice supplements our General Data Protection Policy, which can be found at www.messe-berlin.de/Datenschutz. For special cases of data processing there may be separate data protection notices.
Controller and data protection officer
Messe Berlin GmbH, Messedamm 22, 14055 Berlin, Germany, e-mail: email@example.com, is the entity responsible for the processing of the personal data (the so-called controller) within the meaning of the GDPR and service provider in connection with the IFA 2020 Special Edition. Categories and sources of personal data
We process the personal data of the participants of the IFA 2020 Special Edition, which may be (potential) exhibitors, (potential) visitors, media representatives, speakers, ticket owners, partners or others. We collect the data as part of your online registration and profile creation and partially automated by using various technologies. With your consent, we integrate profile data from your existing Virtual Market Place® profile, if any. Messe Berlin GmbH may invite you to participate in the IFA 2020 Special Edition and other events if you purchase a ticket, if you are accredited as a media representative, if you are already a member of the Virtual Market Place® or in any other context a user or customer of (online) services of the Messe Berlin GmbH.
For the purpose of participating at the IFA 2020 Special Edition, you will be given access to a virtual platform through which the aforementioned participants can present themselves and, if applicable, their company (profile), visit the IFA 2020 Special Edition virtually, follow presentations and lectures live or afterwards (participation) and meet and network (communication and networking).
In order to register for the IFA 2020 Special Edition, an online registration form must be completed. As a ticket owner you will find further information in this regard in the separate data protection notices in the IFA Ticket Shop and as a media representative in the accreditation portal.
For the IFA profile creation (business card) the following data are processed: salutation, title, name, position and name of the company/organisation, contact details, status (exhibitor, visitor, trade visitor, media representative), photo (optional), professional interests and preferences, social media accounts such as Xing and Linked In (optional) and calendar ID. The following data will be processed to create the exhibitor profile: exhibitor name and category, address, stored URL, exhibitor description, business area, products and business cards and contact persons.
The following data are processed for participation in virtual events, including live streaming: name, company/organisation, rooms visited, sessions and interactions within the virtual rooms as well as date, time and duration of the participation.
The following data are processed for communication and networking: name, role and name of the company/organisation of participants in calls or chats, content, time stamp and course of the chat as
well as date and time of agreed appointments, name of the partner of the conversation, type of appointment, notes on appointment entries, availability and the calendar ID.
For navigation on and security of the platform as well as for analysis purposes and for statistical evaluation to optimize future online presences, certain data are collected automatically by using certain technologies. For this purpose so-called cookies (small pieces of information) are placed on the devices of the users, stored in the web browser and accessed. We use the following cookies on the virtual platform:

If you undertake the registration for or disclose the data of another person (third party) (e.g., business cards of your employees as an exhibitor), you are responsible for ensuring that you are entitled to provide such data and that the person concerned has been sufficiently informed by you about the processing of the person´s data as set out in this notice.
Purposes and legal basis of processing
Execution of IFA 2020 Special Edition and performance of contract
We process the personal data pursuant to Section 2 for the purpose of establishing and performing the contract for the execution of and your participation at the IFA 2020 Special Edition (legal basis: Art. 6 (1) (b) GDPR). The afore-mentioned essential cookies serve for navigation and security of the platform.
IFA Profile and Exhibitor Profile
The personal data are processed in order to create a profile or a virtual business card at the IFA 2020 Special Edition, to make new contacts in the technology sector and to network with other IFA participants and/or to present additional products and services as an exhibitor.
Live streaming and participation in virtual events
We process personal data for the organisation and operation of virtual events, livestreams and the retrieval of on-demand videos.
Communication and networking
We process personal data to enable participants to chat and communicate with other participants, to set up and organise meetings, to take notes, to participate in meetings in virtual rooms or to stream meetings via the platform, as well as to arrange and carry out appointments and video calls between different participants.
Filter functions within the platform make it possible to select according to various categories such as industry sectors, employee functions/roles or product groups. These interest filters can be defined by the participant. By defining the filter categories, an automated comparison of the filters set is carried out with the aim of optimizing networking.
Analysis and evaluation for optimisation
Contact for information and marketing purposes by companies of our group of companies
We process the personal data from the profile and contact data for the purpose of contacting you in order to provide you with information accompanying the trade fair and information on opening, accompanying and subsequent events as well as other products and services of the fair portfolio, including in particular (editorial) newsletters, print- and digital media offers, sector specific web portals and lead campaigns. Subsequent events also include other trade fairs and events organised or held by Messe Berlin GmbH or other group companies in Germany and abroad. For these purposes, we also transmit the data to other companies within the Messe Berlin group of companies. We also use the personal data for market research purposes and for voluntary online surveys in order to constantly improve our offers and our products and services and as part of a market and user analysis adapt them to the needs. The legal basis for this is our legitimate interest in the optimal support of our customers during and after the trade fair and the marketing of the same and similar products and services from the portfolio of the Messe Berlin group of companies (legal basis: Art. 6 (1) (f) GDPR).
Categories of recipients and international data transfers
The personal data published in the profile are visible to other participants of the IFA 2020 Special Edition. In order to carry out certain processing activities in connection with the IFA 2020 Special Edition (in particular hosting and IT support, platform and data management, performance monitoring, digital communication (e-mail, chat, video chat, video, streaming and screen sharing) and analysis) we make use of external service providers which process the personal data on our behalf (so-called “processors”).
If we carry out market research or online surveys together with a cooperation partner or exhibitor, they will receive the results of the survey (on an anonymised basis).
We also pass on the data to other companies within the Messe Berlin group of companies for the purposes stated in Section 3.3.
Many participants of the IFA 2020 Special Edition, some processors and the above-mentioned technology provider, some companies of the Messe Berlin Group as well as cooperation partners and exhibitors, are located in third countries outside the EU, which do not provide the same level of data protection as the EU, in particular due to the absence of a legal framework, independent supervisory authorities or data protection rights and remedies. We will only transfer personal data to those third countries if the European Commission ("EU Commission") has adopted a so-called adequacy decision in this respect (Art. 45 GDPR) or otherwise where appropriate safeguards in accordance with Art. 46 GDPR have been provided, in particular standard data protection clauses adopted by the EU Commission pursuant to Art. 46 (2) (c) GDPR and, where necessary, supplementary measures. A copy of the safeguards can be obtained upon request (e.g., by e-mail – for contact details see section 1 above). With respect to the data transfer to other participants of the IFA Special Edition the transfer is necessary for the performance of a contract (Art. 49 (1) (b) GDPR) and with respect to the data transfer to the afore-mentioned technology provider as well as cooperation partners or exhibitors based on your explicit consent despite the lack of adequate data protection in the third countries outside the EU and the risks associated therewith.
For the storage period of the data collected through the technologies mentioned in section 2, see section 2. Participants can delete their profile data at any time. The personal data mentioned in section 2 will be deleted by the end of 2020 at the latest. This does not include profile data, including the contact details of visitors and exhibitors (with the exception of photos), which we process for information and marketing purposes (Section 3.3) until we receive an objection. In addition, stored personal data may be deleted earlier as soon as they are no longer required to achieve the respective purpose of their processing. In so far as the processing takes place on the basis of consent or a legitimate interest of Messe Berlin GmbH, the data in question will no longer be processed for the purpose in question, and where appropriate, erased after receipt of your revocation of your consent or your objection to the processing, unless the conditions for a statutory exception are met. Notwithstanding the foregoing, personal data which are subject to retention obligations under commercial or tax laws will only be deleted after the expiry of the statutory retention periods.
Pursuant to Art. 12-21 GDPR, you can assert the following data subject rights at any time: the right to access, rectification and erasure of your personal data, the right to data portability and to restriction of processing. If the processing is based on legitimate interests, you have the right to object to the processing of your personal data, including profiling, for reasons relating to your particular situation. Furthermore, you may object to the processing of the personal data and their use for marketing purposes at any time. If you have given us your consent, you can revoke this consent at any time with effect for the future. In case of newsletters or other electronic marketing you can also click the unsubscribe link. If you are of the opinion that the data processing violates data protection law, you have the right to lodge a complaint with the competent supervisory authority of your choice (Art. 77 GDPR in conjunction with section 19 of the German Federal Data Protection Act (Bundesdatenschutzgesetz)).
